How much effort does setup (onboarding) take?

Setup doesn’t take long. desk.ly runs in the cloud, so you don’t need any additional hardware. On request, our team will guide you through setup and help you connect desk.ly to Microsoft 365, Google Workspace, or your existing infrastructure.

Is there a free trial?

With the Freemium plan, you can use desk.ly free of charge for up to 15 users, with no time limit. It’s ideal for a pilot phase before rolling it out across your organisation.

How good is desk.ly's customer service?

At desk.ly, you’ll be connected with a personal contact person instead of an anonymous hotline. Our German- and English-speaking support team guides you from setup through ongoing operations. Starting with the Enterprise Plus plan, you’ll also have a dedicated contact person at your disposal.

Is desk.ly secure and compliant with data protection regulations?

desk.ly meets all requirements of the European GDPR and is compliant with data protection regulations both as an organisation and as software. We have based our product on essential legal guidelines, such as data protection through technical design with appropriate default settings (Art. 25 EU GDPR), and we support our customers in exercising data subjects’ rights (right to erasure, access or data portability; Chapter 3 of the EU GDPR) and make the necessary adjustments.

Thanks to desk.ly’s self-service approach, employees can also view their digital booking overview at any time and anonymise their data, specifically their name.

Is desk.ly GDPR-compliant?

Your data is hosted in ISO 27001-certified data centres in Frankfurt am Main in strict compliance with the General Data Protection Regulation (GDPR). You can request the necessary Data Processing Agreement (DPA) directly within the system or via our website.

Where is desk.ly hosted?

desk.ly relies on Amazon Web Services (AWS) in Frankfurt (https://aws.amazon.com/de/compliance/gdpr-center/) to host its software. The data centres used are ISO/IEC 27001 certified and and therefore meet our high standards for the physical security of our customers’ data.

Can you book anonymously with desk.ly?

Yes. desk.ly gives you the option to make bookings anonymously, and there are two ways to do this.

First, the admin can allow each person to decide individually whether to book anonymously. Second, the admin can set desk.ly up so that all employees book completely anonymously.

How does desk booking work day to day?

Employees book their desk in desk.ly with just a few clicks via the browser or the mobile app. The floor plan shows at a glance which desks are available, so they can select the right one straight away. No lengthy training is needed because the interface is self-explanatory.

Can employees see who is in the office and when?

desk.ly can be configured so that employees see which colleagues are in the office on a given day and where they’re sitting. This helps teams coordinate shared office days rather than missing each other. However, this visibility isn’t mandatory: bookings can also be made anonymously, in which case others can’t tell who’s using a desk. You decide for yourselves whether names are visible, for example in consultation with the works council.

Can desk.ly be integrated with existing tools like Microsoft Teams?

Yes, desk.ly integrates deeply with popular systems such as Microsoft and Google Workspace. Employees can then book their desk directly from Teams, for example, without having to open another tool or remember additional passwords.

What office utilisation analytics do I get?

As an admin, you can see in desk.ly how heavily individual desks, rooms and entire locations are actually used, across days, weeks and locations. This allows you to plan your office space based on data over longer periods rather than gut feeling, for example to identify recurring patterns between peak days and quieter office days. If you want to measure actual occupancy rather than planned occupancy, you can supplement your booking data with desk.ly Connect, our software-based sensor technology that requires no additional hardware. According to the desk.ly Hybrid Work Report 2026, around 60 per cent of office space goes unused on average. This is exactly where the analytics come in.

How good is the desk.ly mobile app?

With the desk.ly app, you can book your desk, meeting room or parking space directly from your smartphone.
