What priority booking is and how to set it up

What is priority booking?

Priority bookings are a type of booking rules that you can define to give user groups or individual users priority for certain resources. This ensures resource availability for people in your organization who repeatedly need certain desks, zones or meeting rooms. 

Priority booking rules can apply:

  • for a specific period of time (i.e, have a start and end date)
  • for certain weekdays
  • until a certain point in time when the resources will be released for everybody to book
  • to groups or individuals
  • to all resources at a location or to individual resources on floorplan level

Here are some examples

A group of employees is planning to introduce team days for an important project. Every Friday, they would like to sit together in the same office. The project will begin in September and run for two months. If they do not need all the blocked seats, others can book them as well, but only after 7 a.m. on Friday mornings. With our priority booking, you can create a rule to meet their requirements exactly.

Or maybe management usually meets on Mondays to discuss strategy, for which they would like to have priority to book the large meeting room. Now, you can create a priority booking rule for this very purpose.

What it looks like for your users

If the user is part of the priority group, for which you have created a rule, they will see a star symbol next to the respective resource for the dates when the rule applies.

If they do not belong to the prioritised group, the resource will be blocked for them for the respective dates. It will appear blocked until the resource is released from the rule and will then be bookable again.
